Adding employees into ATS Onboarding is the first step in initiating their digital onboarding process and ensuring their details are correctly passed into the Aussie TimeSheets or Payroll system. Whether added individually or in bulk, employees can be assigned to the appropriate location, department, and any required filtering so they automatically receive the correct documents. This article outlines the available methods for adding employees and the key information necessary to ensure a smooth, efficient setup.
In addition to adding new employees, existing employees in your T&A system can be added if you have any updated policies they may need to review and/or sign in the future. (For the paid plan).
How to add employees to ATS Onboarding:
Individually:
- Log in to ATS Onboarding and go to Employees.
- Click Add.
- Fill out the Quick Details form.
- (1) Employee Completes Onboarding or (2) Manager Completes Onboarding.
- Click the green Save and Send Employee Self Service Link. This will send the employee an Onboarding link for them to fill out all the required information.
- Fill out each field yourself by clicking the Blue Plus buttons, completing each field, and then clicking the blue Save button.
Bulk Adding/Quick Loader:
This is for adding many employees who are in the same group/role.
- Log in to ATS Onboarding and go to Employees.
- Click Add Many.
- Fill in the fields for the group of employees you will be adding.
- Enter an employee's First Name, Last Name and Date of Birth.
- Click the Blue +Add button.
- Repeat steps 4 & 5 as many times as necessary.
- (Optional) You can use the blue pencil button or the red trash button to edit or delete an Employee.
- Click the orange Back button.
- You can either click into each employee to enter their details or click the blue envelope button to send them a link to complete the required information.
Importing:
Used mainly for mass importing
- Log in to ATS Onboarding and go to Employees.
- Click Import
- Click Download Template.
- Open and fill out the CSV according to the headers.
Please note the information you enter is case sensitive and do NOT edit, add or remove the headers.
Despite being named the same, these are two different fields, please see the below image: - Save the file, and go back to ATS Onboarding
- Click Upload New Import File.
- Select the saved import file and click Open.
(If necessary) Tick whichever tick boxes are relevant to you. (These can be sent later)
